From manual planning to a real-time overview: how to save hours every week

Manual planning takes time. Looking up files, checking addresses, estimating routes, coordinating teams… these are all repetitive tasks. We put an end to that for this client.

We developed a solution that fundamentally simplifies their operations: a real-time interactive map linked to Teamleader, displaying all leads and ongoing projects.

The challenge

The client worked with different phases within their projects (from surveying to aftercare), but lacked a centralised visual overview. Furthermore, planning was done manually: looking up deals in Teamleader and assessing which assignments made geographical sense.

The result: time wasted on planning, inefficient travel and limited control over ongoing projects.

Our solution

We developed an interactive map with direct Teamleader integration. What used to be manual work now happens automatically:

• New deals appear immediately on the map
• Status updates are visually updated
• All relevant information is immediately available

No manual input, no duplication of effort.

Smart visualisation

Each phase was given a clear visual representation:

• Unique shapes (circle, triangle, etc.)
• Distinctive colours for each status (survey, production, installation, aftercare, etc.)

This provides a clear overview of all ongoing projects at a glance. What used to take minutes (or longer) per decision is now done in an instant.

Extra smart layers

We went beyond simply visualising deals:

• Installers’ home locations
  → Immediately see which jobs are geographically the best fit
• Banner locations
  → Efficient management of banner installation and collection
• Detailed deal information
  → Customer details, status, custom fields (such as material choices or weather requirements)
  → Direct link to the deal in Teamleader

Real-time synchronisation

Thanks to a Teamleader integration, every change in Teamleader is automatically synchronised with the map.
New deals, status updates or additional information: everything is immediately visible to the whole team.

Smart management of API costs

We have also optimised the technical side:

• Addresses are not geocoded again if they are already known
• Incomplete addresses are filtered before API requests
  → Result: fewer errors and lower costs
